Scheduling Reports
The CMS provides a report scheduling feature that allows an Administrator or a non-Administrator with Analytics access permissions to generate and email reports on a user-defined schedule. The report scheduling feature is only available at the Connects Standard Enterprise service level. This feature is accessible by clicking the 'Data Export and Report Scheduling' tab on the Analytics page, as shown below:
A template must be created to schedule a report. The user should select the fields to be exported, select preferred filters, click the 'Create Template' button, check the 'Email Report' checkbox field, fill out the report schedule details, and click the 'Save' button. The 'Email Report' field is displayed when a template is created or edited.
The buttons and checkboxes behave as described on the Data Export page. Some fields do not apply to an email report template and will be hidden when the Email Report checkbox is checked.
After selecting the 'Email Report' checkbox, the following fields will be displayed:
Enter your email address
This field should contain the email addresses of whom the report is to be sent. Semicolons should be used to separate multiple email addresses. There is a limit of 50 email addresses and/or 1,000 characters. Please note that a report sent to the email addresses listed may contain restricted reports.
Report Data From
This field represents the period from the report’s generation date that should be used to determine which incident reports to include in the emailed report. The options for this field are Previous day, Previous 7, 14, 30, or 90 days, Previous year, and All Data.
Note that a maximum of 500 incident reports will be included in the emailed report.
Frequency
This field represents how often the report should be generated and sent. The options are Daily, Weekly, and Monthly.
If Daily frequency is chosen, the user can choose how often the report will occur.
If Weekly frequency is chosen, the user can choose which day(s) of the week the report will occur.
If Monthly is chosen, the user can choose which day of the month and which periodic months the report will occur. The user can also choose the ordinal week of the month, the day of the week, and on which periodic month the report will occur.
Range of Recurrence
The dates in this section refer to when the report should start and end.
For example, with a Start Date of 6/1/2024 and an End Date of 6/30/2024, the report will only run at every scheduled interval in June 2024.
